Freelancer Invoices

This guide explains how to manage your invoices as a freelancer in the system. If you haven't already set up your company information, see Company Settings.

Creating a New Invoice

  • Navigate to the "New Invoice" page
  • Use the date picker to select the time range for your invoice (default is the current month)
  • Here you can view all your logged hours and income per project in the selected time range
  • Click the "+ New Invoice" button to create a new invoice

In the new invoice form:

  • All information is pre-filled based on your company settings
  • Check that all sender and receiver information is correct
  • If your company information or payment information is missing or incorrect, go to "Settings" -> "My Company" to set correct values (see Company Settings)
  • If receiver information is missing, contact your administrator
  • You can add additional rows to the invoice using the "+" icon
  • Review the total amounts before creating the invoice
  • Click "Create" to finalize the invoice
  • After the invoice is created, your administrator will review and approve it

Viewing Invoice History

  1. Navigate to the "Invoices" page to see all your created invoices
  2. On this page you can:
    • View all invoices you have created
    • Filter invoices by date
    • Download invoice PDFs by clicking the PDF icon
    • Delete invoices (only possible when status is "Created", see Invoice Status)

Invoice Status

  • Created: Initial status, invoice can be deleted and recreated if needed
  • Approved/Paid: Cannot be modified, contact administrator if changes are needed
  • Denied: Invoice has been denied, contact administrator for more information

Important Notes

  • After the invoice is created you cannot log new hours for the same time range
  • Once an invoice is approved, it cannot be edited or deleted
  • If you need to modify an approved/paid invoice, contact your administrator
  • Make sure all your hours are correctly logged before creating an invoice
